Every dispense is captured as a permanent, timestamped record: who drew the item (the employee and the card or app that authorised it), what was issued, which machine or locker, and when. How employees access the machine

PPE Vending Manager offers three access experiences so you can match security to the site:

  • PPE Vending Lite — timed access with no app or card, for low-risk consumables.
  • Card access — barcode/QR, MIFARE (CID) or HID key cards, with the facility code combined into a standardised key-card number for fast, secure recognition.
  • Mobile app — the recommended secure method, built on Vending on Track’s proven Connectivity Platform and available on iOS and Android.

Onboarding is real-time: add an employee from the dashboard, tap their card on a desktop reader or the machine, and they can dispense immediately. Lost or revoked cards are blocked instantly while all historical transaction data is retained.

Smart lockers for high-value and returnable items

Beyond coil vending, PPE Vending Manager controls smart lockers. Dedicated lockers assign each cell to a single user; trackable lockers let employees draw and return individual items from shared cells via the app, with every dispense and return logged. What kind of vending machines does it work with?

PPE Vending Manager reads the standard MDB (Multi-Drop Bus) port, so it runs across most industrial vending machines, coil and locker dispensers, and combo units regardless of brand. Vending on Track does not sell the machines themselves — we supply the connectivity hardware and the management software, and can refer you to reputable machine suppliers if you need them.

How do employees access PPE from the machine?

Three access tiers are supported: PPE Vending Lite for timed access without an app or card; card access using barcode/QR, MIFARE or HID key cards; and the mobile app, the recommended secure method. Cards and the app support permanent access, while Lite is for timed access. Every dispense is recorded against the employee who authorised it.

Can it run vendor-managed inventory (VMI) for MRO supplies?

Yes. PPE Vending Manager is built for the MRO (Maintenance, Repair and Operations) supply chain and supports VMI (Vendor Managed Inventory), CMI (Customer Managed Inventory) and CoMI (Co-Managed Inventory) scenarios, plus critical-supply and IT-asset dispensing. Does it support lockers as well as vending machines?

Yes. What reporting and auditing does it provide?

Real-time latest-transaction reports, consumption and inventory reports, failed-dispense incident notifications, and Advanced Reporting — scheduled daily, weekly or monthly reports you design in Excel and have emailed automatically on a cron schedule. For security and compliance it logs audit trails, PIN Code Input Events and Key Card Tap Events, so every access attempt — successful or failed — is traceable.
